Design Lessons

TeamHaven is platform designed on 20 years of experience managing remote workforces.  Over those years the founders of TeamHaven have dealt with all aspects of the actual operation of managing people (recruitment, training and deployment), collecting data, consolidating results and sharing information. 

The design of TeamHaven learnt from a number of very important lessons:

  • It is expensive to employ people to do manual administration of paperwork, printing, postage, phone calls, double data entry.

Using TeamHaven and PDA data collection it is possible for one person with web access to set up an activity, create the call file, design the questionnaire (call report), assign the users and deploy the activity in less than half an hour.  With the PDA, the field user can synchronise over GPRS or any internet connection to get their call information, complete their data entry and synchronise it back into TeamHaven.  The whole process reduces paper, reduces time, reduces the need for administrative functions and saves money.

  • The accuracy of data is vital to the integrity of decisions based on them.

Paper collection and data entry causes typos and logical mistakes rendering the results inaccurate or worst case completely wrong.  Decisions cannot be made when the integrity of the data cannot be verified.  TeamHaven has sophisticated questionnaire validation and a logic manager to ensure that only data that is expected is returned from the PDA or web data entry.

 

  • The speed of the consolidation of results is more important than just the speed of collecting the data.

Pieces of individual data are less meaningful that consolidated results.  Sometimes you have to wait days if not months to receive results based on your data.  TeamHaven solves this by having charting tools and a picture gallery available to analyse your data as it comes in.  Alternatively you can instantly export the data out into your own applications.

 

  • The person or people responsible for managing the operation aren't always based in an office.

Many remote teams are managed by regional supervisors.  These people need to be able to access information about their team or alter the activity whilst they are also working remotely.  TeamHaven is a web based application so wherever they are they can login and have full access to TeamHaven.  TeamHaven was designed with speed in mind so it works just as well over an old Dial-Up connection.

  • Data very often gets out of date, especially before it gets to the people that could action it.

Stock control and issue management systems are often expensive but these are built into the heart of TeamHaven.  As information comes in from a completed questionnaire key information can be triggered and email or text messages can be sent to specified people. 

  • It is hard to confirm that remote workforces have received urgent information without lots of repeated and time consuming phone calls.

There are many situations when you need to get a message out to many people.  TeamHaven has built in messaging capabilities that you may use for recruitment, urgent activity announcements or general request for actions.  It may often be too late to contact them all by phone.

  • The IT department is often heavily involved in setting up a technology solution but they don’t understand the operation.
When your IT department is supporting and developing your solution it is hard for them to specialise in the technology as they will often have other work commitments and a lack of experience in the operation itself.  TeamHaven is a platform that doesn’t need your own IT support as it is fully controlled by a simple user interface and only requires web access to run.
